Job Overview

The Wedding & Events Services Manager is a key member of our luxury hotel team, responsible for curating exceptional weddings, social occasions, and corporate gatherings. This role serves as the primary liaison between clients and the hotel, guiding them through every stage of planning while ensuring flawless execution. With a focus on personalized service and refined detail, the Wedding & Events Services Manager embodies our hotel’s commitment to creating extraordinary, memorable experiences.

Responsibilities

  • Serve as the primary liaison for clients, from initial inquiry through post-event follow-up, providing a seamless and personalized planning experience.
  • Conduct thorough consultations with clients to capture event vision, preferences, and expectations, translating them into detailed proposals and plans.
  • Design tailored menus in partnership with the culinary team, ensuring offerings reflect both client desires and the hotel’s culinary excellence.
  • Prepare, review, and distribute Banquet Event Orders (BEOs) and event diagrams with meticulous accuracy.
  • Lead pre-event planning meetings with hotel departments to align on service expectations, timelines, and guest priorities.
  • Oversee event setup, décor installation, and vendor activity, ensuring all elements reflect the hotel’s luxury standards.
  • Provide hands-on event day leadership, guiding banquet staff, liaising with vendors, and troubleshooting issues discreetly.
  • Anticipate guest needs and resolve challenges quickly, always maintaining an atmosphere of grace and refinement.
  • Conduct post-event evaluations with clients and internal teams to gather feedback, ensure satisfaction, and identify opportunities for improvement.
  • Foster and maintain relationships with preferred vendors, enhancing the hotel’s event capabilities and ensuring seamless collaborations.
  • Partner with the sales team to convert inquiries into bookings, upsell enhancements, and maximize revenue opportunities.
  • Ensure compliance with hotel policies, safety regulations, and industry best practices during all events.
  • Maintain accurate records of event details, contracts, and financials, supporting forecasting and budget management.
  • Act as an ambassador of the hotel’s brand, representing its reputation for excellence at industry events, site visits, and networking opportunities.

Qualifications

Education/Formal Training

More than two years of post -high school education

 

Experience

3+ years of experience in luxury hospitality, catering, or high-end event management (hotel background preferred).

 

Knowledge/Skills

  • Demonstrated expertise in wedding and event planning, with a portfolio of successful upscale events.

  • Refined communication and interpersonal skills, with the ability to engage gracefully with discerning clientele.

  • Strong organizational skills, with the ability to manage multiple high-profile events simultaneously.

  • Calm, solutions-driven mindset with a commitment to service excellence.

  • Familiarity with event management software, contracts, and banquet operations.

  • Flexibility to work evenings, weekends, and holidays in line with event demands.

  • Must be able to view set-ups, read fine print, see colors and observe rooms in poorly lit conditions
  • Excellent communication skills required for verbal interaction with guests and associates.
  • Excellent literacy necessary to read BEOs, process gratuities and payroll, etc
  • Requires 12th grade level mathematics, spelling and reading skills.
  • Must be able to meet clients on and off premises, to tour property and attend functions, to climb stairs, and operate basic office equipment.
